We are looking for a Junior Personal Assistant to join Frontier in our Brussels office on a permanent basis. Our growing Brussels office is made up of c.14 people and the successful candidate will support the office on Facilities and Office Management.


This role sits as part of a wider team of c.25 PAs and EAs, spread across our 7 EU Offices. They work together collaboratively to ensure smooth running and effective administration support to colleagues across the business. The role will report to the Practice Co-ordination Team Lead, reporting into the Director of Facilities, but will involve the candidate working closely on a day-to-day basis with the Senior PA in Brussels and wider Brussels team.


This description is only a guide to what might be required but the following provides an overview of the core responsibilities in this role. Specific tasks/assignments will be agreed with the Team Lead, and delegated by the Senior PA, dependent on the requirements across the business.


  • Facilities Support:
    assisting the Director of Facilities and being the key contact for day-to-day office and supplier management, ensuring health and safety requirements are complied with;
  • Front of House Support: managing phone calls, meeting and greeting clients, distribution of post, arranging couriers;
  • Booking travel: including adding travel itineraries to diaries, co-ordinating visa applications and ensuring Covid and Brexit requirements are adhered to;
  • Expense Management: preparing and submitting cash and credit card expenses for the Brussels team;
  • Contacts Management: updating and maintaining our Frontier database;
  • Events & Social support: assisting the Senior PA to arrange social events and away days for the office;
  • Working with other Business Management Teams: to support on local IT and Finance issues;
  • Working and collaborating with the wider Practice Co-ordination Team: working collaboratively, flexibly and openly, supporting each other as our capacity allows. Being helpful and responsive to the needs of colleagues and clients, taking ownership of tasks and getting things done.

Essential Skills and Experience

  • Confident in using all Microsoft Office programmes (Excel, Word, Outlook, PowerPoint) to a good standard
  • Self-motivated, with the ability to work proactively and independently.
  • Excellent organisational skills, attention to detail, and the ability to manage multiple tasks and priorities.
  • Confident in building positive working relationships across the company.
  • Excellent written and verbal communication skills.
  • Strong team player with a flexible, proactive and professional attitude
  • Language skills – English, French and Dutch
