Introduction

To support our expansion, we are looking for a young and motivated Finance and Administrative Assistant to join the Human Resources and Administration team and be the supporting force behind the administrative support of several associations and the recruitment of new talents.

The successful candidate will work in tandem with the Finance Officer and the Human Resources and Administrative Assistant and will be directly under the supervision of the Human Resources Manager.

We are looking for a candidate with an interest in diverse administration and Human Resources functions and eager to grow professionally.

You will be given the opportunity to work with the Human Resources and Administration team in several other projects and take on new responsibilities.

Your responsibilities

Finances and Admin support (+-50%)

You will be in charge, with the guidance of the Finance Officer, of providing general administrative and finance support to several European and Belgium association.

  • You elaborate in close relationship with the clients the annual budget and organise regular follow-up discussions:
    • You take initiatives to optimise budgets and costs
    • You are in charge of the invoicing process
    • You are the contact between the client and the accountant and ensure timely, quarterly and annual closing
  • You take on general administrative tasks:
    • Creation of reports (activity, KPI’s)
    • Contract creation and follow-up (Clients and suppliers)
    • Participation to Board Meetings and General Meetings
    • Publication to the Moniteur Belge

You will be the back-up of the Finance Officer and support when necessary with processing, encoding and filing financial documents and other financial tasks.

 

Human Resources support (+-50%)

You will take a leading role in the recruitment of new talents with the support of the Human Resources Assistant and the Human Resources Manager:

  • You will create inspiring job descriptions and work on our digital presence with the support of our consultants
  • You will be responsible to post our job openings in various support and take the initiative to increase the visibility of our postings
  • You will play a key role in screening CVs and interviewing candidates
  • You will search new talents on all digital supports and initiate contact
  • You will ensure the internal follow up with the consultants and Human Resources team

 

You will support the Human Resources team on ad hoc projects (employee satisfaction survey, evaluation process…)

The list and split of responsibilities is indicative and can evolve depending on the priorities and deadlines and the career progression of the candidate.

What are we looking for?

  • Advanced spoken and written knowledge required in French and English (good understanding of Dutch is an asset)
  • Strong interest in the Human Resources, Financial and Administrative functions;
  • Relevant education, training and/or work experience, preferably in an international environment
  • The ability to provide a broad range of administrative functions
  • Solid knowledge of standard office software, especially Excel
  • The ability to observe deadlines and prioritise tasks
  • Excellent planning and organisational skills, particularly with regards to the completion of multiple parallel tasks as well as a strong attention to detail
  • A service-oriented approach to interactions with clients
  • The capacity to work independently as well as a part of an international team
